In Notabli, agents manage outreach by selecting assigned campaigns, clocking into shifts, logging call interactions and follow-ups, maintaining contact records, and updating deal progression statuses.
1. Accessing Deals and Clocking In
Navigate to Manage Deals: From the main Manage home screen, click Manage Deals (Work on deals and sales activities).
Select Contract & Campaign: Use the dropdown selectors in the upper-right corner of the Deals dashboard to verify you are viewing the correct client contract and campaign (e.g., 224 Gorgeous Cleaning Services and Gorgeous Cleaning Services V1).
Start a Deal: Locate the target record in the deals queue under the appropriate stage (e.g., Telemarketing) and click Start in the Action column.
Clock In: If you are not already clocked in, a modal prompt (Clock in required) will appear:
Select your local timezone from the dropdown (e.g., Greenwich Mean Time).
Click Clock in & continue to begin tracking time and open the deal interface.
2. Logging Calls and Outreach Events
The Events panel at the bottom of the deal view tracks all agent communications:
Select Event Type: Confirm or select the activity format from the Event type dropdown (e.g., Outbound phone call).
Verify Timestamp: Check the Date & time field, or click the calendar icon to adjust the date and time if logging past activity.
Add Call Notes: Enter call details, prospect responses, or outcomes into the Notes box (e.g., called no answer). Note: Notes are mandatory to log an event.
Save Activity: Click the blue Log Event button. A confirmation message reading "Event logged." will appear, and the call will record in the activity audit trail below.
3. Creating Follow-up Tasks
In the left panel, switch from the Instructions tab to the Tasks tab.
Click the blue Add task button to open the modal.
Fill in the task details:
Task: Enter the action item (e.g., follow up).
Due date: Select a deadline from the datepicker calendar.
Time (optional): Enter a specific time if time-sensitive.
Status: Set the task status using the dropdown (To do, In progress, Blocked, or Complete).
Click Create task to add the reminder to the deal dashboard.
4. Editing Company Info and Adding Contacts
The right panel allows agents to update account properties and record decision-maker details:
Updating Company Details: Under the Company tab, adjust existing metadata fields such as Company size (e.g., selecting Micro 1 - 5, Small 6 - 25, etc.), Main Phone number, City, or Postal Code. Values auto-save when fields are updated.
Adding a New Contact:
Click over to the People tab.
Click the blue Add contact button in the upper-right corner of the pane.
In the new contact form (e.g., Person 3), enter their Direct Phone number, Email, First name, and Last name.
Select the appropriate compliance option under Legal basis for processing contact's data (e.g., Legitimate Interest).
5. Setting Deal Status and Advancing to the Next Contact
Once your outreach and data updates are complete, record the stage outcome and move forward:
Update Deal Outcome: In the top navigation bar next to the stage indicator, click the status dropdown (defaulted to Ongoing). Select one of the following:
Stage Won: Marks the stage objectives as successfully met and triggers stage delivery bonuses if configured.
Stage Lost: Closes the deal out as unsuccessful for that stage.
Ongoing: Keeps the record active for subsequent touches or pending callbacks.
Advance to the Next Lead: Click the blue Next deal -> button in the upper-right corner of the top bar to immediately load the next assigned company in your queue.
