How To Manually Create Metadata For CRM

In Notabli, manually creating metadata fields allows administrators to define and capture structured data across core entities such as deals, companies, and contacts.

How to Create a New Metadata Field

  1. Navigate to the Metadata Management Screen

Go to the Manage Metadata Fields dashboard, which displays an overview of all active fields categorized by tabs (All, Deal, Company, and Contact).

  2. Initiate Field Creation

Click the blue Create New button located in the top-right corner of the page.

  3. Define Field Properties

Complete the configuration form on the New Metadata Field page:

    • Name (Required): Enter a clear, descriptive label for the field (for example, Company Name or Follow-up Date).

    • Description (Required): Provide helper text that will appear directly beneath the field input to guide agents on what information to enter.

    • Parent (Required): Select the entity to which the field belongs from the dropdown menu (Deal, Company, or Contact).

    • Default (Optional): Check this box if you want the field to appear automatically when creating contract campaigns or adding/updating records. Leaving this unchecked leaves the field optional and manual.

    • Field Type (Required): Select the data input format from the dropdown menu to control how information is entered and stored.

  4. Review the Live Preview

Check the Preview section at the bottom of the form to verify how the label and input field will render for agents in the deal view.

  5. Save the Field

Click Create at the bottom-right corner. A confirmation banner reading "Metadata field created" will appear, and the new field will immediately populate in the metadata management list.

Available Field Configuration Options

Parent Entities

Metadata fields must be mapped to one of three primary entities:

  • Deal: Attaches the custom data point to specific sales opportunities or deal records.

  • Company: Associates the data point with organization profiles.

  • Contact: Binds the information directly to individual person records.

Supported Field Types

The system supports multiple input formats depending on the type of data being gathered:

  • Short Text: A single-line text input for brief entries like names or titles.

  • Long Text: A multi-line text area suitable for detailed notes or comments.

  • Single Select: A dropdown list that allows users to pick exactly one option.

  • Multiselect: A selection list that allows users to pick multiple applicable options.

  • Integer: A numeric input restricted to whole numbers.

  • Decimal: A numeric field supporting decimal values, ideal for currency, rates, or percentages.

  • Markdown (Instructions): Formatted explanatory text or instructions displayed to guide agents.

Managing Existing Metadata Fields

From the Manage Metadata Fields table, you can audit the configuration of all active metadata:

  • Name & Description: Shows the field title alongside its assigned helper text.

  • Parent: Displays the associated entity.

  • Type: Identifies the data format.

  • Default: Indicates whether the field is applied automatically across new records.

  • Used By: Details any campaigns or workflows currently utilizing the field.

  • Edit: Click the Edit link on any row to adjust field parameters or update descriptions as your workflow evolves.
