In Notabli, creating a contract establishes a centralized client workspace where you can designate management viewer groups, configure structured outreach campaigns and pipeline stages, define custom metadata, and assign target lead companies.
1. Creating the Initial Contract
Navigate to the Contracts section from the main Manage menu and click Create contract.
Fill in the primary contract fields on the New Contract screen:
Contract name: Enter a recognizable name for the account or engagement (e.g., Gorgeous Cleaning Services).
On behalf of (Client company): Select the client organization from the dropdown menu. Note that once the contract is created, the assigned client company cannot be modified.
Click Create contract to generate the contract workspace.
2. Managing Viewer and Client Groups
Once created, configure access controls and agent roles for the contract:
Management Groups: Under the Management groups section, select a viewer group (such as Management) from the Add viewer group dropdown and click Add. Assigned management groups are granted visibility over deals across all campaigns and stages within the contract (requiring the manage contracts privilege).
Client Groups & Agents: Under the Client groups section, click Add client agent to this contract or Create client agent group to grant external client users access to campaign handover stages without giving them global workspace privileges. When adding an individual agent, assign their name, login email, and initial password.
3. Creating a Campaign and Defining Stages
Scroll down to the Campaigns section of the contract page and click Add campaign:
Campaign Name & Template: Enter a descriptive title (e.g., Gorgeous Cleaning Services V1) and select a starting template (or leave it set to Blank (default metadata only)).
Define Pipeline Stages: Set up sequential workflow stages (e.g., Stage 1: Telemarketing, Stage 2: Client):
Click Add stage to append additional pipeline milestones.
Set metrics for each stage, including Credits/hour, Credits/delivery, and Agent bonus % if applicable.
Note: Pipeline stages are locked and cannot be modified once the campaign is created.
4. Configuring Metadata, Instructions, and Group Permissions
In the campaign builder, customize the data points required at each stage of the deal flow:
Add Metadata Fields: Use the Add existing metadata dropdown to attach necessary data fields to the campaign (such as City, Company Name, Postal Code, or Website URL). Click Add after each selection.
Completion Criteria: Specify whether fields are mandatory completion criteria for specific stages (such as Telemarketing or Client).
Stage Instructions: Use the rich-text Markdown/WYSIWYG editor attached to relevant fields to provide instructions or guidelines for agents working deals.
Assigned Agent Groups: Choose which internal teams can access the campaign, select their permission level (e.g., Edit or View), and assign whether they cover All stages or a specific milestone.
Save and Finalize: Check Save as template when creating if you wish to reuse this layout in future contracts, then click the blue Create button.
5. Assigning Lead Companies to the Campaign
In the Campaigns list on the contract page, click Edit next to your newly created campaign.
Scroll to the Lead Companies section at the bottom and click Manage lead companies.
In the company selection table, use the search filters or check the boxes beside the companies you wish to allocate to this campaign. You can select individual rows or use the master header checkbox to select all matching records in bulk.
Under the Action toolbar, ensure the dropdown is set to Assign as lead companies and click Apply to [X] selected to link the accounts to your active campaign.
